FORMAL LETTER WRITING
Formal letters are those letter which we write to some
official people. We usually write them to editors, government, companies,
institutions or any other official authorities. These are also known as
official letters. The language and tone of these types of letters is also
formal and official point based. In these types of letters we used to write
each and every thing point to point, we not used to ramble the main topic in
other aspects. We only used to provide the information, reason, problems and
advice in letter.
Formal letters are of many types and firstly in our life we
used to learn how write a leave application and it is also the type of formal
letter.
FORMAT FORMAL LETTER
1) At top we
will write sender’s address.
2) Then we
will leave one line and write the date.
3) Then again
we will leave one line and write receiver’s address.
4) Then we
will leave one line and write subject.
5) Then again
leave one line and write salutation.
6) Then by
leaving one line we will start writing the main content of letter, which will
divide into 3 para (introduction para, explanatory para and then conclusion
para).
7) Then again
we will leave one line and write complementary words.
8) At last we
will again leave one line and end our letter by writing sender’s name.
POINTS TO
BE REMEMBER WHILE WRITING FORMAL LETTER
1) The receiver
address must be proper (like: first person post then name of institution or
organisation and then name of city or state).
2) Don’t
forgot to seek out the word limit of 150-200 words.
3) The subject
of letter must be as short as possible, just only of maximum 5-6 words.
4) The layout
of the format should be proper, as it shows the professionalism of our letter.
5) Our letter
must be divided at least into 3 para (introductory para, explanatory para and
last one suggestive or conclusion para).
6) We may use
complementary words like yours truly, sincerely, faithfully).
7) The tone of
our letter must be formal and may not have any kind of unneeded personal
information.
TYPES OF FORMAL LETTER
Normally, there are following types of formal letters:
1) Letter to
editor
2) Letter for
complain
3) Letter for
inquiry
4) Letter for
placing order
Besides this, there are also many more types of letters, but
these are the common letters that we use in our daily life.

Q. You are
Abu, write a letter to the editor of the newspaper Times of India telling about
reckless driving and increasing cases of accidents in Mathura.

Sir/Ma’am,
Through the column of your esteemed newspaper, I want to
highlight the issue of reckless driving and increasing cases of accidents in
the city.
Traffic jam is yet another danger. Drunk drivers play havoc
with the lives of innocent people. Reckless driving has become a kind of
fashion. So many accidents takes place every day on the city roads. Young aged
boys feel the thrill of speed. They do not observe traffic rules. They take
pride in overtaking other vehicles and gong against traffic lights at the
crossing. All this results in serious accidents.
It is a pity that such people escape and are not caught. I request
the authorities of this column to enforce the rules of the roads and educate
the people about traffic rules so that the lives of citizens are not put at a
risk. Traffic rules must be observed. The driver found driving in a drunken
state should be dealt strictly.
